Wedding Order Timeline Planner

Enter the date the pieces must be in the planner's hands and an allowance for each stage: proof review, production, transit and receiving. The planner counts back over business days and gives every stage a start date. Vow Keepsake Studio offers it as a planning aid. It reserves nothing, and public holidays need extra allowance added by you.

Build your plan

Work backwards from arrival using your entered stage durations. Weekends are skipped; holidays and closures require extra allowance. Dates describe a plan, not reserved production capacity.

The decision behind a wedding signage order

A ceremony keepsake and a table-number set have different priorities. Count pieces from the final room plan, including the welcome point and any separate reception areas. Keep the couple’s preferred names and date consistent, and approve guest-facing directions against the venue’s actual layout.

Keep with your brief: Preferred names, date format, table plan and venue handoff.

Understand what the result means

Begin proof review = required arrival minus all entered stage allowances, counting weekdays only

Use the first date as a prompt to have a complete brief and an available approver. It is not a reason to start irreversible work with missing measurements. If the dates are impractical, discuss a simpler format, a different presentation plan or revised timing before authorizing the order.

What does the timeline tell a couple about their RSVP deadline?

A couple is planning their own wedding without a planner. The venue lets them in to set up the afternoon before, so they enter the day before that as the arrival date. The stage allowances come from their Vow Keepsake Studio quote. The planner returns four dates, and the earliest, the start of proof review, falls before the RSVP deadline printed on their invitations. That is the finding that matters. The table count cannot be final before then, so they split the order. The Wedding Welcome Sign and the Wedding Keepsake Plaque, whose wording depends on nothing but the two of them, are proofed early. The Wedding Table Number Signs are run through the planner again from a later start, after the replies are in.

Check these details before using the result

Treating the wedding morning as arrival
Enter the day someone can open the box and check it, which is at least the setup day and better the day before that.
No single person to approve
Name one approver, the couple or the planner, and make sure that person is not on a bachelorette trip or honeymoon-planning call on the review dates.
Assuming the wedding slot is reserved
The planner draws a schedule on paper. Only the written quote confirms when production starts for your order.

Wedding Keepsake Plaque

Choose wording that feels natural beyond the wedding day. Decide whether the venue belongs on the plaque or whether the names and dedication tell the story on their own, especially for a small display.

Estimate the guest count and decide whether people sign directly or add separate pieces. The chosen surface and writing method need to work together, so request a sample check before relying on the finished display at the event.

Wedding Table Number Signs

Confirm the exact table list after the seating plan is settled. Check the number against the centerpiece height and table setting, and distinguish table numbers from guest names so the two pieces of information do not compete.

Questions about this planner

Should we plan the keepsake and the table numbers together?

Run them as two plans. The keepsake depends only on your names, your date and your line, so it can be proofed early. Table numbers wait on the seating plan. Two runs give two proof dates, and telling us about both lets the quote reflect two steps, with the keepsake made first.

How is this planner different from the arrival estimator?

They take the same figures. The arrival estimator answers one question: the last date the box can ship. This planner is for running the whole order with a calendar in hand. It gives each stage a start date so you can decide who approves the proof, who receives the box and when the table count must be frozen.

Bilingual destination wedding signage

Vow Keepsake Studio bilingual destination-wedding signs should express the same approved guest instruction in both languages while preserving the couple’s chosen names. For worldwide celebrations, assign language reviewers and confirm the venue context before layout. Translation, physical sign count and the ownership of a keepsake are separate decisions even when the artwork matches.

Coordinate wedding signs and personalized keepsakes

Separate guest-facing information from personal keepsakes, then approve the names, date and event wording once for the full collection. Measure each sign's actual placement and identify what may change before the wedding. Use a controlled list for table numbers, gifts and inscriptions so late revisions affect the correct items.

Counting seating chart panels and table numbers

Vow Keepsake Studio seating orders should count physical seating-chart panels and table-number signs separately from guests and printed names. For worldwide weddings, use the selected venue layout and approved guest list to define the content. A chart with many names can still be one panel, while each approved table marker is another object.

Prepare wedding signs and keepsakes for a destination celebration

Separate the signs guests need on the day from the pieces the couple will keep afterward. Approve names, date wording and language choices, then group the order by venue and handoff point. A destination wedding needs a receiving plan before travel and a plan for the pieces after the event.
